Inside Schubach Aviation’s Journey to Powerful Manual Management with Web Manuals

For over 30 years, Schubach Aviation has been a trusted name in private jet charter, aircraft management, and global travel solutions. With a reputation built on integrity, safety, and personalized client care, the company needed a documentation process that could match its high operational standards.

Like many operators, Schubach Aviation relied on Microsoft Word and Adobe to manage manuals — tools that often led to inconsistent formatting, limited collaboration, and time consuming updates.

When Bob Rufli joined Schubach Aviation as Director of Flight Operations, he brought with him something invaluable: years of hands-on experience implementing Web Manuals across multiple aviation operations. He had seen firsthand what the platform could do, and he knew exactly what Schubach needed.

That conviction came from experience. Earlier in his career, Rufli oversaw the merger of multiple Part 135 certificates covering 120 aircraft, each with its own set of manuals written in different styles by different authors.

“I had different sets of manuals, all written differently by different people, again, with their knowledge of Word and how they structured the documents, and that was what really caused me to reach out and look for a solution,” Rufli recalls. “As I learned more about its capabilities, I realized that it could potentially help me quite a bit.”

He first discovered Web Manuals at NBAA BACE, and in the years that followed, implemented it across several operations. When he came to Schubach, the choice was clear. “It was the platform I knew could bring the right structure and control to an operation like this,” he says.

The Solution: Implementing Web Manuals

With Rufli leading the way, Schubach Aviation is adopting Web Manuals to standardize manuals across departments and aircraft types, ensuring consistency and regulatory compliance. The platform enables true collaboration, where multiple subject matter experts can contribute to a single document without compromising control or quality, replacing time-consuming manual formatting with streamlined digital workflows.

“One of the biggest benefits of Web Manuals that I saw was its ability to control the document well and to involve many people in that control,” Rufli explains. “In some ways, manuals are almost an artwork to really create the right information and present it in the right way.”

For operators considering a similar move, Rufli’s advice is straightforward: “It will save you time in the long run. The initial setup and getting all of your manuals into the system does take time and effort, but it’s like anything — if you want to implement new processes or procedures, it’s the initial time it takes. But long term, it’s going to save you a lot of time and create a product that is much better for your organization.”
